EDI Flow for Wholesale Orders

This article outlines the step-by-step process for managing wholesale orders using our Electronic Data Interchange (EDI) flow.

1. Order Received & Approval Process

The EDI flow kicks off when we receive a wholesale order that needs approval.

Steps:

  • Check for pending purchase orders in your EDI dashboard.

  • Review Trade Terms — these are often pre-filled from the customer's profile.

    • Key field to check: Shipping Responsibility. This determines:

      • Who covers shipping costs.

      • Whether shipping appears on the final invoice.


2. Review & Approve the Purchase Order

Once trade terms are confirmed:

  • Review the items listed in the order.

  • Ensure the recipient information is correct.

  • Click "Approve" to confirm the order and proceed.


3. Shipment Allocation

After approval, the system will prompt you to allocate the order to shipments.

Key Notes:

  • Skupreme Auto-Allocation: Based on ideal warehouse proximity and inventory.

  • Manual Planning Available: You can manually:

    • Create custom shipments.

    • Allocate specific SKUs per warehouse or shipment.

  • Each line item in the order has its own allocation section.


4. Invoicing the Customer

An invoice is only issued once all shipments are complete, i.e., the customer has received the products.

  • Invoice generation is automatic.

  • It is sent directly to the customer upon delivery confirmation.


5. Payment & Order Completion

  • Once payment is confirmed (automatically or manually marked as "Paid"), the purchase order is marked as complete in the system.


Tips

  • Always double-check shipping responsibility, especially for first-time wholesale partners.

  • Manual shipment creation is helpful when splitting deliveries across warehouses or handling backorders.

  • Keep an eye on shipment statuses to ensure timely invoicing and avoid delays in revenue recognition.
